This Data Processing Agreement ("DPA") forms part of the agreement between RJ Solar Consultancy Group ("RJsol Pro", "Processor") and the customer ("Controller") for the use of the RJsol Pro platform and services.
1 Purpose of Processing
RJsol Pro processes personal data on behalf of customers for the following purposes:
- Workforce management and team administration
- CRM operations and customer relationship management
- Compliance management and documentation
- Project management and job tracking
- Customer communications and portal access
- AI operational support (JJ AI, Tia AI, Nevaeh AI, Leia AI)
- Reporting, analytics, and business intelligence
2 Types of Personal Data Processed
The following categories of personal data may be processed:
- Names, email addresses, and phone numbers
- Employee and workforce records
- GPS location data (during approved site activities)
- Attendance and sign-in/sign-out records
- Certificates, qualifications, and compliance documents
- Customer project data and site information
- Uploaded documents, photographs, and survey images
- Meeting recordings and AI-generated transcripts
- Invoice and payment information
3 Processing Purposes
Personal data is processed solely for:
- Delivering the RJsol Pro platform and its features
- Operational management of solar installation workflows
- Generating and managing compliance documentation
- Providing AI-assisted operational support
- Maintaining platform functionality and security
- Producing reports and analytics
- Facilitating communication between team members and customers
4 Customer Responsibilities (Controller)
As the data controller, you are responsible for:
- Ensuring lawful basis and consent for all personal data shared with RJsol Pro
- Maintaining the accuracy and currency of personal data
- Managing user permissions and access controls within your account
- Ensuring compliance with applicable data protection laws (including UK GDPR)
- Informing data subjects about the processing of their data
5 Security Measures
RJsol Pro implements reasonable technical and organisational measures to protect personal data, including:
- Encryption of data in transit and at rest
- Access controls and authentication mechanisms
- Regular security assessments and monitoring
- Incident detection and response procedures
- Secure data storage with appropriate backups
6 Sub-processors
RJsol Pro may engage sub-processors to assist in delivering services. Current categories of sub-processors include:
- Cloud hosting and infrastructure providers
- AI service providers
- Analytics and monitoring providers
- Payment processing providers
- Communication and notification providers
We maintain appropriate agreements with all sub-processors to ensure equivalent data protection standards.
7 Data Retention
Personal data is retained only for as long as necessary to fulfil the processing purposes described in this DPA, or as required by applicable law. When data is no longer required, it is securely deleted or anonymised in accordance with our retention policies.
8 Data Subject Rights
RJsol Pro will assist customers in responding to data subject requests, including:
- Right of access to personal data
- Right to rectification of inaccurate data
- Right to erasure (right to be forgotten)
- Right to restriction of processing
- Right to data portability
- Right to object to processing

9 Data Breach Notification
In the event of a personal data breach that affects customer data, RJsol Pro will:
- Notify the affected customer without undue delay where legally required
- Provide relevant details about the nature and scope of the breach
- Describe the measures taken or proposed to address the breach
- Cooperate with the customer in meeting their notification obligations
10 Termination
Upon termination of the agreement:
- Personal data will be deleted or returned to the customer in accordance with applicable agreements and laws
- Retention of certain data may be required for legal or regulatory compliance
- The customer will be notified of any data retained and the basis for retention
